Getting Started

Preparing for public release · Windows 10 / 11 x64
Your first steps

A clear path
to your first listing.

Gruffin brings your inventory and eBay workflow together on Windows. Here is how setup will work when public release opens.

Public downloads and sales are coming soon, after publisher signing and final release checks.
  1. Install Gruffin

Download the public installer from this website when available. Setup creates Desktop and Start Menu shortcuts, so you can open the app without browsing through folders.

  2. Sign in and choose your plan

Open Gruffin, create or sign in to your account, then open Subscription. Review your plan, billing interval, any trial, and renewal terms before completing Stripe checkout for your signed-in workspace.

  3. Connect your eBay seller account

Open Settings → Connections → Connect eBay Seller Account. Review the permissions on eBay’s sign-in page, return to Gruffin, and refresh connection status.

  4. Refresh your workspace

Open Dashboard → Refresh to load your connected listings and sales. Sales analytics require Professional or Enterprise access.

  5. Research, review, and list

Start in Listings or Photo to Listing. Check imported product details and source references against your exact item. Add your own photos, condition, price, and quantity before publishing.

Updates after installation

Your inventory and account settings are stored separately from the installed app. Once signed automatic updates are available, installed copies can update at the next launch without downloading the installer for every update.

Compatibility

Requires Windows 10 or 11 x64. Amazon integration and variation stock updates are not available in this release. Shipping labels are completed through eBay Seller Hub.

Bring your inventory and your column names

Open Inventory → Bulk Import to bring in CSV, .xlsx, or .xls data. Map your item ID or SKU and the fields you want to import. “Use my spreadsheet column headings in Gruffin” is on by default, and merging is the starting choice. Enable replacement only when you intend to replace the app’s inventory.

Use Inventory → Column names whenever you want different labels. These are display names; renaming them does not rename the inventory fields or break a saved Excel mapping.

Link Excel for reviewed sync

Open Inventory → Workbook setup. Choose a .xlsx file, its worksheet, and the header row. Click Read columns, then map your unique item ID to SKU and select the other columns to sync. Save the link and review the preview before applying any changes.

Excel write-back starts off. Leave it off for import-only sync, or enable it for a workbook you want Gruffin to update. Then open Inventory → Excel sync when you want to compare the two inventories. Use Excel updates the app; Use Gruffin writes an approved app value to Excel. Conflicts default to Skip. Close Excel before applying write-back.

Use unique, matching SKUs in Excel, Gruffin, and the eBay listing’s custom label. Sync updates mapped values in existing worksheet rows. It never appends or deletes Excel rows. Formula cells, protected sheets, other worksheets, and unmapped columns are preserved. Approved write-back creates a workbook backup, and stale previews must be refreshed.

You can reorder columns in Excel while keeping their headings. If you rename an Excel heading, reopen Workbook setup and review the mapping. Renaming a heading inside Gruffin only changes its display label.

Let paid eBay sales update matching stock

Gruffin checks orders at startup and every 15 minutes while the app is open. You can also refresh Orders for a check now. A paid sale updates its exact matching SKU with the product sale price, sold date, quantities, and sales channel. A stored order-line record prevents repeat refreshes from counting the sale twice. Unmatched SKUs remain unchanged until matched.

Receive returns before restocking

Open Returns → Check marketplace returns to refresh the queue. A reported return request does not increase stock. Select a request, click Receive selected return, and confirm physical receipt and inspection. Enter the quantity, inspected condition, and location. Check the sellable-inventory option only when those units can be sold again.

Leave sellable restocking off for damaged or uninspected items. For a partial arrival, leave “This completes the pending return request” off until the rest of that request is resolved. Use the no-physical-return option, with an explanatory note, to record a refund-only outcome or close a case without moving stock.

Gruffin keeps the original sale history and a separate return record. Refund amounts entered here are records only: issue the actual refund through eBay or the original payment provider. Marketplace feed availability and lookback limits still apply.

Use the register at your counter

Open Point of Sale. Scan a stored barcode or enter a SKU, then press Enter. Review the ticket, quantity, and unit price. For cash, enter the amount received and review the change due. Card checkout opens Stripe in a browser and finishes only after payment is confirmed.

F2 focuses scanning, F4 opens inventory search, and F8 moves to payment. Stripe card payments require the account connection to be set up first.
